    Default Meeting

    I think that the meeting should be for members or prospective members only. We are conducting club business and elections, so I don't feel that non-members have a say in LDGC functions. The nominations should be open only to members and only members should have a vote. I think the vote should be held at the meeting, we could have nominations on line and give members time to think about who is running, but the vote should be at the meeting. Those attending should be ready to pay the 2010 dues while at the meeting. The $10 dues from all members will pretty much pay the cost of club insurance for the year. We should set a goal of establishing a Tournament Comm. so they can start setting the agenda for the CVO 2010. As Martin stated before, we have made a good deal of progress this year. Now is the time to use that progress as a springboard for 2010.

    i liked the duties you had listed/suggested earlier in an ages old post

    one focal point that steve and i talked about was the push to get more involvement from the club then just a few elected officials

    the elected and appointed officials would chair and serve these committees

    I understand with the elections and all why this should be a LDGC only meeting but I think it's a bad idea to change since it was originally advertised to both clubs as an open meeting to discuss bettering disc golf in the Louisville area.

    I'm not yet a member and I was planning on attending the meeting with the intentions of joining at the time or at the very least arranging to join and pay my dues, since I havn't found out any info on that from this website.

    I understand the concerns of having others there while there is an election of officers. How do I join?

    There have been new people join at meetings I have been at so I would say its fine to show up and pay if you havn't done so yet.

    I can't find anyone to switch shifts with me at work so I won't be able to attend this meeting. Will there be an online vote for those who can't make it?

    This never happened. Our attendance to the meeting may be extremely low and this will be one of the factors as to why.

    We've never discussed the process of nominations and votes. I guess it will be done off the cuff at the meeting? It seems like more time and effort should be poured into the elections as the officers are the working voice of the club. Maybe it would be to our best interest to postpone the elections.

    Here's what I suggested about a year ago for officers duties. You can use it if you like. It's a great tool for accountablity and much better than nothing:

    President
    -Essential Duties

    • Schedule regular club meetings.
    • Develop and work towards a successful club plan.
    • Ensure club has ongoing membership building program.
    • Make sure other officers know and perform their duties.
    • Ensure each meeting starts and ends on time.
    • Arrange for a replacement in your absence.
    • Appoint committees to help out on projects and programs.
    • Maintain contact with Metro Parks.
    • Hold regular club Executive Committee meetings.
    • Be responsible for general operation and supervision of club.
    • Prepare a successor for office.

    Vice President
    -Essential Duties

    • Aid in completion of the President’s essential duties.
    • Be prepared as the successor for office.

    Public Relations
    -Essential Duties

    • Promote club to local media.
    • Produce and distribute club newsletter at least quarterly.
    • Promote membership programs.
    • Publiciize upcomin club events: contests, theme meetings, etc.
    • Help gather information and promote club web site.
    • Appoint fund raising committees.
    • Be creative in ways of "getting the word out" about the LDGC.

    Secretary
    -Essential Duties

    • Maintain accurate club roster.
    • Handle general club correspondence.
    • Take meeting minutes and distribute to club members.
    • Arrange for replacement if unable to attend meetings.
    • Ensure meeting starts and ends on time.
    • Keep club files, including Charter and Bylaws
    • Prepare a successor for office

    Treasurer
    -Essential Duties

    • Collect and send dues.
    • Announce several meetings before deadline that dues are due.
    • Submit New Members and dues within 48 hours of new member joining.
    • Understand and explain dues structure to prospective members.
    • Prepare club budget to be approved by club officers.
    • Present Treasurer's report to club each meeting.
    • Keep records of all financial transactions.
    • Maintain club bank account and access to funds.

    Events Coordinator
    -Essential Duties

    • Assist in planning of ALL LDGC events.
    • Train new event directors.
    • Maintain contact with PDGA tour manager’s office.
    • Maintain contact with Park’s Departments.
    • Prepare a successor for office.
    • Communicate new events with Web Administrator and Public Relations Officer.
